How to contribute non-digital materials?

Physical materials

Typical materials include slides, line drawings, negatives, CD's, DVD's, hard drives, flash drives, and memory cards. Please package all submissions as securely as possible. To ensure a prompt delivery, notify us via email regarding what you are sending and when you are sending.

Images can be submitted on any topic and from any location. However, members must provide image identification and a description about each image. It should include what it is, what it shows and why it is useful. Listed below are ways members can do this.

Quantity

Photographers are allowed to submit as many images as like. However, non-digital images, which include slides, negatives, and line drawings, involve a much longer process to edit and upload online. We ask that photographers limit their non-digital image submission to roughly 1,000.

How to label Slides, Photographs from Negatives and Line Drawings

There are several ways members can identify their images with slides and negatives. They can either:

  • Write the information on the original
  • Identify each original with a unique identifiable number or text-string and send us a written or electronic file (such as Word, Excel, etc) that cross-links to the identified image and provides the descriptive information. We have a downloadable data entry form that we recommend.
  • Enter the information online after images have been posted online.

How to submit images

Slides

Members can submit original or digitized photographic slides. Slides are returned to the contributor after put into the system. If you are submitting digitized slides, we ask that they conform to the current standards for high-resolution TIFF images, which are as followed:

  • High-resolution scans typically 2400 dpi
  • The file format should be uncompressed TIFF. We will maintain the submitted TIFF files in our archive
  • Crop and rotate images as required

Photographs from Negatives

Members can submit negatives to be scanned or can provide images digitized from negatives. To provide the best image for use, images need to be digitized directly from the original negatives. Use the guidelines above if you scan them yourself.

Line Drawings

Members can also submit high-resolution line drawing type images. Please either:

  • Send the original document for us to scan, or
  • If you wish to scan them and send us a digital file, please
    • Scan and save files as uncompressed TIFF format at the highest practical resolution
    • If images are pen and ink drawings containing only black and white, scan the image as black and white TIFF image
    • If images contain gray or color washes, scan images as grayscale or color TIFF image
  • Provide only line images that are in public domain or drawings you hold the copyright
  • Crop and rotate the images as required

How do I send it?

Due to the large size of the files, we recommend sending the images on a hard drive, CD or DVD. If the TIFF images have been converted to JPG images, they can be uploaded via the Online Upload Form
